Modify Document(s) Dialog

Used to change the value of a selected attribute simultaneously in multiple documents. Opens when you select one or more documents and select Document > Modify.

General tab

If only one document is selected, the File Name attribute is available for editing.

If multiple documents are selected, the Document Name and Description attribute fields have check boxes in front of them.

Folder Shows the location of the selected documents. If you have multiple documents selected from different folders, from the results of a document search for example, this field displays, <Documents from different folders>.
Document Name Lets you change the name of the selected document or documents. If multiple documents are selected, a check box displays next to the Name field. When this check box is on, it means that what displays in the Name field will become the new name for the selected documents. Entering information into the Name field automatically turns on the check box. When the check box is off, your changes will not be effected when you click Apply or OK. You can edit the Name field directly, or you can place the cursor in the Name field and click the button to the right to add a property variable to the name. This way your document name can be a combination of variables, or your own text and variables. For example, you can add the property variable, Document Created By, to the document name, so that as part of the name it will have the name of the user who created the document.
Make document name and file name the same (lock icon and check box) This option controls whether or not the document Name field is locked to the File Name field. If on, the File Name field is disabled from editing and locked to the Document Name field, so that whatever you enter in the Document Name field will also be entered in the File Name field. If off, the File Name field is enabled for editing, and you can edit the file name independently of the document name. When this option is on and you do not enter an extension in the Document Name field, then the file name will retain its original extension. If you do add an extension in the Document Name field, and that extension happens to be different than the file name’s original extension, then the file name’s extension will be changed to match the extension you entered in the Document Name field. The check box for this option is on by default. When on, the lock icon appears as locked. To turn this option off, click the check box. When off, the lock icon will appear unlocked. Assuming the check box is enabled, you can turn the option on or off as needed. If the check box is disabled from changing, it means your administrator has enforced document name locking at the datasource level, and you cannot turn off the option for this or any document.
Document Description Lets you change the description of the selected document or documents. This field works the same as the Document Name field described above.
Edit MIME Type Lets you change the MIME type of the selected documents.
Application Lets you change the application associated to the selected documents.
Department Lets you change the department associated to the selected documents.
Workspace Profile Lets you change the workspace profile associated to the selected documents.
File Name This field is only available when a single document is selected. For the attached file, you can click the button in the File Name section to replace the file (Replace File), replace the file but keep the original file name (Replace File Content), or delete the file (Delete File). If there is no file attached, you can click the same button, which will then give you the option to Attach File.

Environment tab

The Environment tab takes its name from the environment the document belongs to, for example, Default Environment. If the selected documents do not contain attributes or have default values assigned (for example, they have been created and the option to Create Attribute Records upon Document Creation has not been set for the document's environment in ProjectWise Administrator) the Environment tab does not display. If data is entered in at least one attribute for each of the selected documents the Environment tab options are available for modification.

For all the text fields, you can edit the field directly, or you can place the cursor in the field and click the button to the right to add a property variable to the name. This way your document name can be a combination of variables, or your own text and variables.

If multiple documents are selected, a check box displays next to every field on the Environment tab. When a check box is set, it means that what displays in the field next to it will become the new value for the selected documents. Entering information into the field automatically turns on the check box. When a check box is cleared, your changes will not be effected when you click Apply or OK.

Tip: If the environment attributes fields are Read-Only or are used to make up the document code, the attribute fields are disabled. If the attribute fields have a value list, then the attribute fields should display a list where a fixed value type can be selected.
